. To assist the Manager Finance and Administration to perform office administration functions which would include supervision of the staff in general and support staff in particular.
. Assist the Manager to resolve issues related to government legal requirements including exemption and other matters.
. Requisition for office supplies and other office procurement matters.
. Strictly follow the procurement policy described in the policy procedural manual and coordinate the payments and other financial matters with the program officer finance and admin.
. Coordinate all administrative support services in support of all projects including visa, travel external consultants and training.
. Maintaining inventory record .
. Facilitating auditors in external and internal audit.
. Checking vehicle log books regularly.
. Making arrangements for vehicle POL and other maintenance operations.
. Maintaning of cash books and ledger books.
. Preparations of financial statements and bank reconciliation.
. Receipt and distribution of incoming/ outgoing mail.
. Ensure the employee attendance and their personal file updating.
. Organize and make necessary arrangements for work shops, seminars and trainings.
. Involve in the process of planning and budgeting.
